yeskite

Google Calendar and Gmail

Two optional connections. Google Calendar keeps leads off your busy times and puts their calls on your calendar. Gmail sends your booking emails from your own address.

Each one is connected separately, with its own Google sign-in, so you can use either or both. They can use the same Google account or different ones. Both are on the Availability tab of Calendar in your dashboard. A personal Google account or a Google Workspace account works. On a Workspace account, your admin may need to allow yeskite first.

Google Calendar

Connect

  1. Sign in to yeskite and open Calendar, then Availability.
  2. Scroll to Google Calendar and select Connect Google Calendar.
  3. Choose the Google account whose calendar you use for work.
  4. Google lists what yeskite is asking for. Leave every box ticked and select Continue. If you untick one, yeskite asks you to connect again.
  5. Back in yeskite, tick the calendars that should block bookings, up to 50, and select Save calendars.

Your upcoming calls are added to your calendar over the next few minutes. If something goes wrong, see Troubleshooting.

How it works

  • Busy times. When a lead looks for a time, yeskite asks Google when you're busy on the calendars you ticked, at most once a minute, and hides those times. It only learns when you're busy, never what your events say.
  • Booked calls. Each call is added to your main calendar, titled "Call with" and the lead's name. The event has the lead's email and phone, a link to your dashboard, and the Zoom link as its location. The lead isn't added as a guest, so Google doesn't email them.
  • Changes. When a call is rescheduled the event moves, and when it's cancelled the event is removed. Changes you make to the event in Google don't reach yeskite or the lead, so move and cancel calls from yeskite.
  • New calendars. If you add a calendar in Google, select Refresh list to see it.
  • Outages. If Google doesn't answer, leads see your busy times from the last successful check, and the dashboard says so. Calls waiting to reach your calendar retry automatically, or select Retry updates.

Permissions

calendar.calendarlist.readonly
Lists your calendars, so you can choose which ones count as busy.
calendar.events.freebusy
Sees when you're busy on the calendars you choose. Not what your events say or who's invited.
calendar.events.owned
Adds, moves, and removes the events for calls booked through us, on your main calendar.
openid, email
Shows which Google account is connected.

Disconnect

In Google Calendar, select Disconnect. yeskite deletes its saved access and your busy times, stops adding calls, and revokes its access at Google. Leads can still book, but your Google Calendar no longer blocks times. Calls already on your calendar stay there.

Gmail

Without an email connection, yeskite doesn't send booking emails to you or your leads. Gmail is one option. You can use Resend, Postmark, or SendGrid instead, in the same place.

Connect

  1. Open Calendar, then Availability, and find Booking emails.
  2. Select Connect Gmail and choose the Google account to send from.
  3. Allow yeskite to send email on your behalf, and select Continue.
  4. yeskite sends a test email to that address, so check it arrived.
  5. Choose what to send: Send booking emails to leads, Email me about my bookings, and Enable automatic email reminders with how long before the call. Then select Save email reminders.

How it works

  • Leads get a confirmation when they book, a notice when the call moves or is cancelled, and the reminders you chose. You can get a notice for each of these too.
  • Emails go out from your Gmail address, appear in your Sent folder, and replies come to your inbox.
  • yeskite can send email, but it can't read your inbox or anything in it.
  • Google's daily sending limits for your account apply.

Permissions

gmail.send
Sends booking emails as you. It can't read, search, change, or delete your email.
openid, email
Shows which Gmail address the emails come from.

Disconnect

In Booking emails, select Disconnect email. yeskite deletes its saved access, stops sending booking emails and reminders, and revokes its access at Google. Emails already sent stay in your Sent folder.

Removing access from your Google Account

You can also cut yeskite off from Google's side at any time.

  1. Open your Google Account's third-party connections.
  2. Select yeskite.
  3. Choose to delete the connection and confirm.

That stops both Google Calendar and Gmail for that Google account, and yeskite asks you to reconnect. Disconnect them in yeskite as well, so the saved access is deleted.

Google grants one access for both features. So if you disconnect one of them in yeskite but still use the same Google account for the other, yeskite keeps that access until you disconnect the other too.

What we store

Your Google account email, encrypted access for each connection, your calendars' names, the calendars you ticked, and your busy times for the booking window. Nothing from your inbox. The Privacy Policy has the details, including how Google user data is used and when it's deleted.

Troubleshooting

"Google Calendar needs to be enabled by the app owner." or "Gmail sign-in needs to be enabled by the app owner."
The connection isn't switched on for this site yet. Email us and we'll let you know when it is.
"Allow everything Google asks for" or "Allow yeskite to send email when Google asks"
A permission was unticked on Google's screen. Connect again and leave every box ticked.
"The connection expired or couldn't be verified."
The connection has to finish within 10 minutes, in the same browser. Connect again, and make sure your browser accepts cookies from yeskite.
"Google wouldn't let this account send email."
This usually means a Google Workspace admin has blocked sending from third-party apps. Ask your admin to allow yeskite, or connect a different account.
"Google stopped accepting this connection." or "Google stopped accepting email from this account."
The access was removed from your Google Account, or Google expired it. Select Reconnect Google Calendar or Reconnect Gmail.
Google says the app isn't verified.
Google shows this while it's still reviewing yeskite. Email us before continuing if you're unsure.
A lead booked a time I was busy.
Check the calendar with that event is ticked and saved. Google is asked at most once a minute, so a time you filled in the last minute can still be offered.
I didn't get the test email.
Check your spam folder. If it isn't there, disconnect and connect again, then email us if it still doesn't arrive.
